Privacy Policy - Drover Insights LLC
Effective Date: December 17, 2025

Drover Insights LLC (“Drover Insights,” “we,” “us,” or “our”) explains in this Privacy Policy how we collect, use, and share information when you visit our website https://droverinsights.com/ (the “Site”) or interact with us (for example, by web form, chat widget, email, phone, or SMS if you opt in).

1) Scope

This Privacy Policy applies to information collected through:

  • The Site (including pages, forms, and embedded features)

  • Our business communications (email, phone, and messages)

  • Our chat widget

  • Our embedded AI call/chat experiences on the Site (including Retell AI-powered interactions)

  • SMS/text messaging only if you explicitly opt in via a checkbox

This Policy does not apply to third-party websites or services that may be linked from the Site. Those third parties have their own privacy policies.

Client project data: This policy primarily covers our Site and business communications. Client project data handled while delivering services may be governed by separate service agreements, statements of work, or other contracts.

2) Information We Collect

We collect information in two main ways: (A) information you provide, and (B) information collected automatically when you use the Site.

A) Information You Provide

Depending on how you interact with us, we may collect:

  • Contact details: name, email address, phone number

  • Business details: company name (if provided)

  • Inquiry details: the content of messages you submit through forms, email, chat widget, or other communications

  • Scheduling details: information you provide when booking or requesting meetings (we use Cal.com for scheduling)

  • SMS opt-in status: whether you checked the box consenting to receive texts

  • Payments (limited details): billing contact details and invoice/payment status (payment card data is handled by Stripe-see “Payments”)

Note: Our Site does not request file uploads through forms.

B) Information Collected Automatically

When you visit the Site, we (and service providers acting on our behalf) may automatically collect:

  • Device and network info: IP address, browser type, device identifiers, operating system

  • Approximate location: city/region-level location inferred from IP address

  • Usage data: pages viewed, time spent on pages, referring/exit pages, clicks and other interactions

  • Cookies and similar technologies: used for site functionality and analytics (see “Cookies & Tracking”)

C) AI Call/Chat Recordings on the Site (Retell AI)

If you use an embedded voice or chat experience on our Site, the interaction may generate information such as:

  • Conversation content (what you say/type)

  • Call/chat metadata (for example, timestamps and interaction duration)

  • Recordings and/or transcripts (where enabled as part of the experience)

We use this information to operate the experience, respond to your request, improve quality, and for security/fraud prevention as needed.

3) How We Use Information

We use personal information for the following business purposes:

  • Provide and operate the Site

  • Respond to inquiries and communicate with you

  • Schedule meetings (including via Cal.com)

  • Provide services and manage our business relationship

  • Process payments (through Stripe, when applicable)

  • Analytics and improvement (including understanding Site performance via Google Analytics 4)

  • Security and fraud prevention, including monitoring for suspicious activity and protecting our rights

  • Administrative and service-related messages (for example, updates about your inquiry)

  • Marketing communications (where permitted by law): you can opt out at any time (see “Your Rights & Choices”)

4) Cookies & Tracking Technologies (GA4)

We use cookies and similar technologies to help the Site function and to understand how visitors use it.

  • Analytics: We use Google Analytics 4 (GA4) to measure and understand Site usage (for example, page views and interactions).

Cookie choices: We display a cookie banner that provides choices (such as accepting, rejecting non-essential cookies, and/or managing preferences). Your available choices depend on the settings in that banner.

How to manage cookies: You can also control cookies through your browser settings (including blocking or deleting cookies). If you disable cookies, some Site features may not work as intended.

Do Not Track (DNT): Some browsers offer a “Do Not Track” signal. Our Site does not currently respond to DNT signals.

Global Privacy Control (GPC): We honor GPC signals. If your browser or device sends a GPC signal, we will treat it as a request to opt out of “sale” or “sharing” of personal information for that browser/device where applicable. (Based on our current practices described below, we do not sell personal information and we do not share it for cross-context behavioral advertising.)

5) How We Share Information

We do not sell personal information.

We may share personal information in the following circumstances:

A) Service Providers

We share information with vendors that help us operate our Site and business, such as:

  • Website/IT support services

  • Analytics providers (GA4)

  • Scheduling (Cal.com)

  • Payment processing (Stripe)

These providers are permitted to use personal information only as needed to provide services to us.

B) Legal Compliance and Protection

  • Comply with law, regulation, legal process, or government request

  • Protect the rights, safety, and security of Drover Insights, our customers, or others

  • Prevent fraud, abuse, or security issues

C) Business Transfers

If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of assets, information may be transferred as part of that transaction.

6) Payments (Stripe)

If you pay for services, payments are processed through Stripe (for invoices/retainers when applicable).

  • Payment card information is handled by Stripe. We do not store full payment card details.

  • We may receive limited information related to payment processing, such as billing contact details, invoice/payment status, and transaction identifiers.

7) Data Retention

We retain personal information as long as reasonably necessary to:

  • Provide the Site and services

  • Respond to requests and maintain our relationship with you

  • Comply with legal, accounting, and tax obligations

  • Resolve disputes and enforce agreements

  • Maintain security and prevent fraud

Retention periods vary by data type and purpose. In practice, this can range from a shorter period (for certain logs) to multiple years (for records we need for accounting/tax or contractual reasons).

8) Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9) Your Rights & Choices

A) Email Marketing

If you receive marketing emails from us, you can opt out by using the unsubscribe link in the email (if included) or by contacting us at info@droverinsights.com.
